Daily back-ups
SpinOffice maakt dagelijks automatische back-ups van uw database, zodat u zich geen zorgen hoeft te maken over gegevensverlies. Deze back-ups bevatten berichten, bestanden en relaties, en worden veilig extern opgeslagen in de cloud. Dit vermindert het risico op verlies door brand, diefstal of andere calamiteiten die lokale back-ups kwetsbaar maken. Uw gegevens blijven continu veilig en altijd toegankelijk.
Daarnaast worden versies van bestanden continu opgeslagen, zodat u eerdere versies kunt bekijken en herstellen. U kunt ook zien welke bewerkingen door welke persoon zijn uitgevoerd. We bewaren snapshots van wijzigingen gedurende de afgelopen 5 dagen, waarna de documenten naar een backupserver worden verplaatst en tot 100 dagen toegankelijk blijven.
Amazon Web Services
We use Amazon Web Services (AWS) to host the application servers needed to run SpinOffice CRM. All customer databases, emails and files are stored and managed securely within AWS. The data center we use is located within the EU, our network is a 'private network' that no one else has access to. There are several reasons why AWS was chosen, we would like to explain a few to you:
Security
On AWS we have created a so-called 'private network'. Our databases are encrypted with a unique company key and all files stored in SpinOffice are encrypted.
Trustworthy
Our virtual private network spans two AWS data centers within a single availability zone. This allows us to host all servers in two separate data centers. A load balancer determines where to route traffic based on availability and resources. Our SQL database is also distributed between these two data centers and replicates automatically. If there is a problem in one of the two data centers, the other will take over and you as a user can continue working. For file storage, we use AWS S3, which guarantees 99.99% availability. Version control allows us to restore your files if necessary.
Scalable and high-performance
AWS allows us to automatically scale to meet the growing needs of our users. When traffic on our servers increases, we automatically start another instance of our server to help with the traffic. When traffic decreases, the additional server is automatically terminated. Using these advanced options from AWS, we are able to consistently deliver high performance to our users.
Cost-effective
With the help of all the advanced options that AWS offers, we can work cost-saving. Servers are switched on and off as needed, this is not only good for optimal cost-efficiency but it also contributes to a better environment.
Currently, there are over 4500 customer databases running on AWS. All databases are encrypted with a unique client ID.
Rollen, rechten & groepen
SpinOffice biedt uitgebreide mogelijkheden om rollen en rechten in te stellen, vooral in de Pro-editie. Dit stelt u in staat om te bepalen welke gebruikers toegang hebben tot specifieke gegevens, of om bepaalde informatie af te schermen voor anderen. Dit maakt het mogelijk om gevoelige gegevens te beschermen, terwijl de gedeelde informatie voor andere teamleden toegankelijk blijft.
In de Pro-editie kunt u eenvoudig rollen en rechten toewijzen aan gebruikers om te voorkomen dat ze gegevens kunnen exporteren of wijzigingen aanbrengen die ze niet mogen maken. De gratis versie biedt geen toegang tot deze geavanceerde rechtenbeheerfuncties.
Two-factor authentication
Twee-factor authenticatie (2FA) is een optionele, maar zeer aanbevolen beveiligingsfunctie in de Pro-editie van SpinOffice. Na activering wordt er naast uw wachtwoord ook een beveiligingscode vereist die naar uw telefoon wordt gestuurd. Dit voegt een extra beveiligingslaag toe aan uw account, waardoor het veel moeilijker wordt voor kwaadwillenden om toegang te krijgen tot uw gegevens.

Periodic Pentest
Despite all data being stored encrypted, we periodically have our software reviewed to ensure safety. We do this by periodically having a professional penetration tests performed by an external specialized agency.
The purpose of the pentest is to gain insight into the risks and vulnerabilities of the system under investigation and to define improvements for security - in other words, to combat the risks and vulnerabilities.
